LocalX Gastro — Restaurant Management Platform

These Terms of Service (“Terms”) govern your use of the LocalX Gastro platform (the “Platform”), including all applications, web panels, and services, operated by:

By using the Platform, you agree to these Terms. If you do not agree, do not use the Platform.
1. What the Platform provides
LocalX Gastro is a complete restaurant management platform for the Swiss hospitality industry. It consists of multiple connected applications serving different roles:
Owner / Administrator Panel (admin.localx.world)
The central management hub for restaurant owners:
- Shift planning: create, edit, publish, and manage weekly shift schedules for all employees; drag-and-drop roster, shift pool for open shifts, shift swap management
- Workforce management: employee profiles, contract details, vacation balances, working-time approvals, L-GAV compliance warnings, workforce export for accountants
- Time-off management: review and approve/decline vacation, sick leave, unpaid leave, and other absence requests
- Menu management: create and manage restaurant menus, categories, items, pricing, allergen information, and availability
- Table and floor management: configure restaurant floor layout, table assignments, and seating capacity
- Order monitoring: live view of all active orders, table status, and kitchen/bar queue
- Stock management: inventory tracking, supplier management, auto-depletion from orders, stock variance reports, low-stock alerts
- Financial overview: daily revenue, order analytics, tip distribution, cash reconciliation
- Documents: upload and manage employee documents (contracts, work permits, certificates), track signature requirements
- Payslips: upload monthly payslips for employees to access
- Settings: restaurant profile, opening hours, location configuration, geofence settings, notification preferences, payment integration, fiscal compliance (MWSTG, gap-free numbering)
Manager access
Managers access the admin panel with restricted permissions:
- All shift planning and workforce features
- Time-off approvals for their location
- Working-time review and approval
- Cannot access financial settings, billing, or account-level configuration
Accountant access
Accountants access a read-only view focused on:
- Workforce export (hours, overtime, breaks, absences)
- Payslip upload
- Employee contract and rate information
- Time entry data for payroll processing
Employee App (Waiter, Cook, Bartender)
A mobile application for all restaurant employees:
- Time tracking: clock in and out with optional GPS verification, break logging, terminal PIN for tablet clock-in
- Shift management: view scheduled shifts, request shift swaps, receive shift change notifications
- Worked hours: view logged hours by day, week, or month; track approval status (pending, approved, live)
- Time-off requests: request vacation, report sick leave, request unpaid leave or other absences (parental, bereavement, training, civic duty)
- Availability preferences: set preferred working days and times for the shift planner
- Payslips: view and download monthly payslips
- Documents: access employment documents, upload signed copies
- Personal details: emergency contact, address, employment terms
- Push notifications: alerts for shift changes, approvals, new documents, payslips, and announcements
Additionally, by role:
- Waiters: live floor view with table status, order management, waiter-call handling from guest QR ordering, bill requests, table management
- Cooks: kitchen display (KDS) with incoming orders by station, preparation tracking, order-ready alerts
- Bartenders: bar display with drink orders, preparation tracking, order-ready alerts
- Cooks and bartenders: stock management, ingredient tracking, stock movement recording, variance reporting
Guest ordering (menu.localx.world)
QR-code based ordering for restaurant guests:
- Scan the table QR code to view the menu
- Place orders directly from the phone
- Call the waiter
- View and request the bill
- No account creation required; sessions expire automatically
Kitchen Display System (KDS)
A dedicated display for kitchen and bar stations:
- Real-time order queue by station
- Order preparation timing
- Mark items as ready
- Priority and course management
Kiosk
Self-service ordering terminal for restaurants:
- Menu browsing and ordering
- Table selection
- No account required
2. Accounts and access
Restaurant accounts
A restaurant account is created by the owner during onboarding. The owner is responsible for managing user access and permissions.
Employee accounts
Employee accounts are created by the restaurant owner or manager. There is no self-registration. If you cannot sign in, contact your manager.
Guest access
Guests access the ordering system by scanning a QR code. No account is required. Guest sessions expire automatically.
Account security
All accounts are personal. Do not share credentials with others. Clock-in and clock-out records are legal working-time documents under Swiss employment law (ArG Art. 46). False entries may result in consequences imposed by your employer. Terminal PINs must be kept confidential.
3. Roles and responsibilities
Restaurant owner
The restaurant owner is the data controller for all data processed through the Platform for their restaurant. The owner decides:
- Who receives an account and what role they have
- What features are enabled (geofence, auto clock-in, etc.)
- Data retention and access policies
- Menu content, pricing, and availability
The owner is responsible for compliance with Swiss employment law, data protection law, and fiscal regulations for their business.
LocalX
LocalX provides the technology platform. We act as a data processor on behalf of the restaurant owner under a data processing agreement. We do not make employment decisions, set wages, manage employment relationships, or handle financial transactions between the restaurant and its customers.
Employees
Employees are responsible for:
- Keeping login credentials and PINs secure
- Accuracy of information they enter (clock times, availability, requests)
- Verifying their recorded hours regularly and reporting discrepancies to their manager or owner promptly
- Using the Platform in accordance with these Terms
Guests
Guests use the ordering system at their own discretion. Orders placed through the Platform are between the guest and the restaurant — LocalX is not a party to that transaction.
4. Accuracy of records
The Platform records working time, shifts, orders, stock movements, and other operational data based on user actions. It is each user’s responsibility to verify the accuracy of their records.
For employees: review your hours daily, weekly, and monthly in the App. Report any incorrect or missing entries to your manager or owner promptly.
For owners and managers: review time entries, approve or correct hours, and ensure records are accurate before payroll processing.
LocalX provides the technology to record and display this data. LocalX does not verify the accuracy of individual records.
5. Acceptable use
All users agree not to:
- Share account credentials or act on behalf of another person
- Enter false working-time records
- Attempt to access data belonging to other restaurants or unauthorised users
- Attempt to bypass, disable, or interfere with security features
- Use the Platform to harass or intimidate others
- Reverse-engineer, decompile, or disassemble the Platform
- Use the Platform for any purpose other than its intended restaurant management and operations functions
- Scrape, copy, or redistribute menu content, pricing, or operational data
6. Orders and payments
The Platform facilitates order placement between guests and the restaurant. LocalX is not a party to any transaction between a guest and a restaurant.
LocalX does not process payments, hold funds, or issue fiscal receipts. Payment processing is handled by the restaurant’s own payment provider (e.g., Worldline). All pricing, menu content, and availability are set by the restaurant.
7. Location data
If the restaurant owner enables location verification, the employee App captures GPS coordinates at the moment of clock-in and clock-out only. Location data is:
- Used solely to verify presence at the restaurant
- Not tracked continuously between clock events
- Not shared outside the Platform
- Retained as part of the time entry record
The restaurant owner decides whether location verification is enabled and configures the geofence radius. Employees can manage their location permissions in device settings.
Android may display notifications about background location access. This is required by the operating system for the automatic clock-in feature and does not mean location is continuously tracked.
8. Push notifications
The Platform sends push notifications to employees for shift changes, approvals, new documents, payslips, and announcements. Notifications are sent in the user’s preferred language.
Users can disable notifications in their device settings without affecting other Platform functionality.
9. Availability and reliability
The Platform is provided on an “as is” and “as available” basis. We strive for continuous availability but cannot guarantee uninterrupted access. The Platform depends on devices, network connections, and third-party infrastructure.
Where the Platform cannot reach the network, certain functions (such as clock-out) are designed to succeed locally and synchronise when connectivity is restored.
We perform maintenance periodically. Where possible, we notify users in advance of scheduled downtime.
10. Intellectual property
The Platform, including its design, code, documentation, and content, is owned by LocalX and protected by Swiss and international intellectual property law.
Restaurant data (menus, employee records, orders, business information) remains the property of the restaurant.
11. Limitation of liability
To the maximum extent permitted by Swiss law:
- LocalX is not liable for indirect, incidental, special, or consequential damages arising from use of the Platform
- LocalX is not liable for inaccuracies in working-time records that were not reported in a timely manner
- LocalX is not liable for the content of menus, pricing, or availability set by the restaurant
- LocalX is not liable for transactions between guests and restaurants
- Nothing in these Terms limits liability for death, personal injury, or intentional or grossly negligent conduct
12. Subscription and billing
The Platform is provided to restaurants under a monthly subscription agreement. Subscription terms, pricing, and billing are governed by the separate agreement between LocalX and the restaurant owner.
Employees and guests are not charged for using the Platform.
13. Account termination
Restaurant accounts: The restaurant owner may cancel their subscription according to the terms of their agreement with LocalX.
Employee accounts: The restaurant owner may deactivate employee accounts at any time. Upon deactivation, the employee’s access ends.
Data after termination: Upon account termination, data is retained according to the restaurant owner’s instructions and applicable law. The restaurant owner may request data export or deletion by contacting LocalX.
14. Changes to these Terms
We may update these Terms as the Platform evolves. Material changes will be announced through the Platform before they take effect. Continued use after changes take effect constitutes acceptance.
15. Governing law and jurisdiction
These Terms are governed by the laws of Switzerland. The exclusive place of jurisdiction is Visp, Canton of Valais, unless mandatory law grants you the right to bring a claim in your domicile.
